In this article, we will walk you through how to set up a Primary and Linked A/R account. This function is primarily used for Family, Corporate, and Spousal Memberships that have A/R Charging privileges.
The Primary and Linked accounts are structured to allow linked accounts to make charges to the corresponding primary account's Accounts Receivable (A/R), facilitating the generation of a single statement at the end of the month.
How to Enable the Primary Account:
1. Navigate to the Customer tab, enter the customer's name in the search field, and then click on the Accounts Receivable tab.
2. Click on the "Edit A/R Status" option, and then switch the toggle to enable the "Make Primary Account" feature. Click Save to apply the changes.
3. The account is now successfully designated as the Primary Account.
How to Link Accounts to the Primary Account:
1. From the Primary Account, click on the "Edit A/R Status" option.
2. Click on the search box labeled "Masters Pool" to begin the linking process.
3. Enter the customer's name in the search box and select the name from the results to link it to the Primary Account. Repeat this process to search for and select any additional customers you wish to link to this account. When finished select the back arrow at the top left of the box.
*To remove a linked customer select the red "X".
4. Select Save to finish.
Checkout Experience:
1. When a customer is added to the checkout screen, it will display whether the account is a Primary Account or indicate the name of the account being charged.
Transaction Details:
1. In the Purchase History, when reviewing transaction details, if a linked account is utilized, it will indicate that the charge was applied to the Primary Account.
